Will this be a manual process to get the data in Libra?
We have a free product called DataMaker that will require initial
setup but then can be run from a schedule function to update the model.
Does the Libra data have to be refreshed on a daily basis?
No, it does not have to be updated daily; preferably it would be weekly snapshot updates and then upload all of the other data streams every few months.
Can the theatre data be loaded straight from our theatre system into Libra?
Using DataMaker it can link to any system or format and run data.
How long does it take to refresh the data?
DataMaker can be set up to schedule the refresh of data and so it can literally be refreshed within minutes.
How does Libra link between OP and Diagnostics, if the clock stops in New OP what will happen?
They are in the middle stage (diagnostics phase) if they have been seen in New OP but do not have a decision to admit, the clock is still running. If the clock has stopped then they are only included in New OP.
Can you drill down on the WL cohorts and see what patients are waiting?
At present you cannot drill down into the data but it is a possibility for future versions.
How does it deal with Clock Stops?
Clock Stops should be removed from the total days they have been waiting; this would have to be set up in the initial data preparation.
How does it deal with follow up OP appointments?
Follow up appointments can be set up as a single service so that you can model Clinic capacity for the follow ups OP Clinics.
Does it require what capacity we are funded for? Not historical?
Yes, you build up the resource tabs based on current funded capacity
We reallocate sessions regularly, can this be done?
Yes you can reallocate sessions quickly and with ease with Libra.
How easily can the model be updated with clinic and theatre template information?
It can be updated using DataMaker from a spreadsheet or system, so that you can show cancellations or changes
Can it use slots in Clinic utilisation templates?
Yes, you can load either the Average number of patients per session or average minutes in clinic per patients.
The maths are all laid out within the Libra technical manual that comes with Libra. Libra calculates the beds based on daily ALOS’s and takes into account seasonality.
Does Libra have a reporting tool?
Yeah, there are 2 built in pdf Reports in Libra and these can be produced and printed at the click of a button.
There are no built in reports with the consultant clinic detail in them but you can view the weekly capacity and demand in the Service Table in Results.
Is there an ability to tailor reports?
You cannot change the reports that are built into Libra but we would appreciate feedback and we can perhaps adjust or help to develop them to match all clients’ requirements.
On the demand side the results also provide a weekly demand number which for stage 2 and 3 are predominantly driven by stage 1 and stage 2 activity. Libra is a forward look modelling tool rather than a retrospective analysis tool.
Not at present, it is only setup to show Theatres. Although Clinic and Bad capacity details can be seen in the Admitted and Clinic Capacity graphs in Results.
From Checklist Libra can we see how well our capacity has been used?
In Checklist Libra you can look at the admitted and clinic capacity graphs, they show you if you have a surplus or shortfall with your capacity.
Can we model Endoscopy within the model?
It would be best to model Endoscopy separately within Checklist and not Libra, as the diagnostic phase in Libra is all patients seen in OP but not had a decision to admit.
There are no administration rights built into the software.
There are no patient details within the software and therefore there is no requirement to have built in security.
How many users for each license?
You can install and use Checklist on an unlimited number of computers in 1 organisation.
Would we have the opportunity to develop the model with you if we are early adaptors?
We are still developing the Libra model at present and would appreciate some input into things that could enhance the model.
What sort of memory does it take up, is it power hungry?
A typical Checklist Libra project file will be less than 1MB. The size of the file is mainly driven by the number of service lines which is a multiple of category values, rows of summary data. The largest files are generated when the software is populated with a procedure driven category. Even then the files are likely to be less than 10MB.
Similarly, a typical consultant level hospital wide Checklist Libra project file is likely to be about 10MB.
What is the cost for training over on top of the license fee?
There are no additional costs for training and ongoing support it is all included in the initial license fee. It is tailored differently to different members of staff as some will need to know everything about it and others will only need to know how to interpret the results.

Can DataMaker be used with Checklist?
DataMaker is compatible with both Checklist and Libra allowing you to streamline the data loading process.
Can Checklist tell you the number of beds needed for our day unit?
Yes, if you can input the average minutes in Clinic and the number of weeks working Checklist can tell you the clinic hours per week and slots per week required to meet an activity plan.

You can set up different Bed Groups Scenarios altering Wards and Bed numbers. You can then compare scenarios side by side to show the risk of altering scenarios.
How can we factor in Mon-Fri wards only?
To set up Mon – Fri beds only data would need to be loaded for these patients and then set up the Bed Group scenarios for non weekend wards.
Can you print off the reports?
You can print off the built in Reports and Result charts
